Your data, explained plainly

Build Discord Bots ("we", "us") operates builddiscordbots.com, a platform for creating and hosting Discord bots, and Cortex, an AI assistant for Discord servers. This policy explains what we collect, why, and how to remove it. Questions: hello@builddiscordbots.com.

Account data: email address, username, and a hashed password (we never store plaintext passwords). If you sign in with Discord, we store your Discord ID, username, and avatar.

Billing: payments are processed by PayPal (our current processor for subscriptions and credit packs) and Stripe (legacy card billing for historic subscriptions, plus refunds and historical payment records). We store your processor customer/subscription identifiers (e.g. PayPal subscription ID, Stripe customer ID), subscription tier, and invoice history. We never see or store full card numbers.

Bot configuration: the Discord bot tokens you provide, the modules you enable, and their settings. Bot tokens are used solely to run your bot and are never shared.

Support: messages and attachments you send through support tickets or bug reports.

Platform usage: session cookies for login, pages visited on our site, and standard server logs (IP address, browser type) kept for security and debugging.

Bot telemetry: bots hosted with us report which commands ran (command name, server ID, anonymous timing and success data) and aggregate server counts (number of servers and members). We use this to monitor health and improve modules. Message content is not included in this telemetry.

Cortex is an AI assistant that participates in your Discord server. To be useful it remembers context. Specifically, for servers where Cortex is present, it stores:

• Conversation context — recent messages in channels where Cortex is mentioned or active, so replies make sense in context.
• User memories — short, durable facts Cortex extracts from your conversations with it (for example your name, preferences, or ongoing projects) so it can personalize future replies.
• Server map — channel names, topics, roles, and a high-level picture of server activity, so Cortex can answer questions about the server and make useful suggestions.
• Usage and audit records — a log of Cortex interactions (for rate limits and cost accounting) and an audit log of administrative actions Cortex performed (for example channel creation or deletion, and who asked for it).

AI processing: to generate responses, the relevant conversation snippets are sent to our AI providers — Anthropic (Claude) for text and OpenAI for image generation. Under our API agreements with these providers, this content is not used to train their models.

Delete everything about you: type @Cortex forget me in any server where Cortex is active. This permanently deletes your memories and conversation history and anonymizes your entries in usage and audit records — immediately, including in-memory caches. Server owners can also unlink or remove Cortex at any time, which stops all collection for that server.

Server staff and the platform never get a "dossier" view of individual members — memories exist to power Cortex's replies, and platform operators see only aggregated, anonymized analytics.

We do not sell your personal data. We do not use your data for third-party advertising.

Account data is kept while your account is active. Deleting your account (Settings → Delete Account) removes your personal data, bots, modules, files, and Cortex data across our systems; any active subscription is canceled first so you cannot be billed after deletion.

Cortex per-user data is deleted on @Cortex forget me as described in section 4. Operational logs and backups age out on a rolling basis.

Passwords are hashed, reset and verification tokens are stored hashed, payments never touch our servers, bot infrastructure is isolated per customer container, and access to production systems is restricted and audited. No system is perfectly secure — if we learn of a breach affecting your data, we will notify you.

Our services are for users who meet Discord's minimum age (13, or higher where local law requires). We do not knowingly collect data from children below that age.

You can access, correct, export, or delete your data at any time — most of it self-service (account settings, @Cortex forget me). For anything else, email hello@builddiscordbots.com and we will respond within 30 days. Depending on where you live (e.g. EU/UK GDPR, California CCPA), you may have additional statutory rights; we honor them regardless of where you are.

Servers on our platform can sell memberships, collect tips, and offer other paid perks through their bot. When you buy something in a Discord server this way, we store: your Discord ID and username (from the button you clicked), the email you enter at Stripe checkout, what you bought, and the amount. We use this to deliver your purchase (e.g. grant your role), manage renewals and refunds, and let the server owner see their sales. Payment card details go to Stripe only — we never see them. You don't need a platform account to buy.

When you sell as a server owner, we additionally keep a ledger of your earnings and payouts (amounts, payout method and destination you configure, lifetime totals for tax reporting). Purchase and ledger records are retained for as long as needed for accounting, tax, and dispute obligations — typically 7 years — even if the related account is deleted.

We will post any changes here and update the effective date. Material changes will be announced by email or an in-app notice before they take effect.
