Collect and Review Discord Media Submissions

Updated · 4 min read

Media Collection lets members submit a title and a supported HTTPS media link, then lets reviewers approve or reject it. It saves the queue and review decision; it does not download, host or archive the media. This guide configures a bounded review workflow and an optional gallery channel.

Before you start

  1. Choose reviewers, channels and limits

Open your bot’s Modules area, enable Media Collection, then open Settings for the server. Choose an optional reviewer role, an optional gallery channel and, if you want all submissions in one place, a submission channel. Without a submission channel, members can submit from any channel where they can use the command.

Set a pending-entry limit from 1 to 20 per member and a submission cooldown from 10 to 3600 seconds. The defaults are three pending entries and 60 seconds. These limits help keep review work bounded; they are not a moderation decision about whether a linked service is safe.

  2. Members use /media submit with a title and link. Titles allow up to 100 characters. The link must be HTTPS, up to 500 characters, and point to YouTube, Twitch, TikTok, Vimeo, Medal, Streamable or a Discord attachment URL. A handle, a local file path and an arbitrary website URL are not accepted.

The command replies privately with the saved submission ID. A member can use /media list to see their own pending or rejected entries and /media view with an ID to inspect one. Approved entries can be listed and viewed by server members; pending and rejected entries remain limited to the submitter unless the viewer is a reviewer.

  3. Review each entry once

A reviewer uses /media list with the pending status, then /media view with an ID before deciding. Review access requires Manage Messages or the configured reviewer role. Use /media approve or /media reject with the submission ID. A saved decision cannot be changed through another review command, so verify the link and title before approving.

Approved entries become visible in the approved collection. The queue holds up to 500 records per server; when a new submission arrives, reviewed entries older than 30 days can be cleared. Use the queue as a current review workflow rather than a permanent catalog.

  4. When an approved entry has a configured gallery, the bot attempts one post to that text or announcement channel. It suppresses mentions and link previews. Confirm that the bot has View Channel and Send Messages there before reviewing your first entry.

The approval is saved before the post is attempted. The module does not automatically replay a failed or uncertain gallery send, so inspect the gallery after an approval. If the post is missing, a reviewer can use /media view and share the saved link manually after checking permissions.

Frequently asked questions

Does Media Collection upload or store video files?

No. It stores accepted links and review data without downloading media or contacting the linked provider.

Which links can members submit?

HTTPS links from the supported YouTube, Twitch, TikTok, Vimeo, Medal and Streamable hosts, plus Discord attachment URLs. Other sites and malformed links are rejected.

Who can approve submissions?

Members with Manage Messages and members holding the selected reviewer role can approve or reject pending entries.

Will an approved item always post to the gallery?

No. Gallery delivery is a one-time best-effort attempt after approval. The approval remains saved, but uncertain or failed sends are not automatically retried.
